Cportal is a software service provider - schools own and control their data, and we do not have access to student records or operational data entered into the system.

Our Role as a Software Provider

Cportal provides school management software on a subscription basis. We want to be clear about our role:

  • Schools own their data: All student records, academic data, fee information, and attendance records belong to the school
  • We don't access school data: We do not have access to, view, or process the operational data that schools enter into Cportal
  • Schools control their data: Each school is responsible for managing, protecting, and ensuring compliance with data protection laws for their own data
  • We provide the tool: Our role is to provide secure, reliable software that schools use to manage their operations

Information We Collect

Registration Information

When a school subscribes to Cportal, we collect basic information including school name, address, school owner/administrator name, contact email, phone number, and subscription plan details.

Account Information

We collect the number of user accounts created by the school for documentation purposes and server management.

Billing Information

We collect payment information necessary to process subscription fees, including billing contact details and payment transaction records.

Technical Information

We automatically collect technical data such as IP addresses, browser type, device information, and access logs to maintain system security and performance.

Support Communications

When you contact our support team, we collect the information you provide in your communications with us.

What We Don't Collect or Access

We want to be transparent about what we do NOT collect or have access to:

  • Student personal information (names, addresses, photos, etc.)
  • Academic records, grades, or report cards
  • Attendance records
  • School fee payment details or parent financial information
  • Parent/guardian contact information
  • Any operational data that schools enter into the system

This data belongs to the school and remains under their control at all times.

How We Use Your Information

We use the information we collect only to:

  • Create and manage your school's subscription account
  • Provide access to the Cportal software platform
  • Process subscription payments and send receipts
  • Provide technical support and respond to inquiries
  • Send service updates, security alerts, and subscription reminders
  • Monitor system performance and security
  • Improve our software and develop new features
  • Comply with legal obligations

School Data Ownership and Responsibility

Each school that uses Cportal is the data controller for all operational data they enter into the system. This means:

Schools are responsible for:

  • Obtaining necessary consent from parents/guardians for student data processing
  • Ensuring compliance with Nigerian Data Protection Regulation (NDPR) and other applicable laws
  • Managing user access and permissions within their account
  • Maintaining the security and confidentiality of their login credentials
  • Backing up and exporting their data as needed
  • Handling data subject requests from parents and students

Data Security

We implement industry-standard security measures to protect our platform and your account information, including encryption of data in transit and at rest, secure authentication, regular security updates, access controls, and system monitoring. Each school's data is isolated and accessible only through their secure login credentials. However, schools are responsible for maintaining the confidentiality of their passwords and user access.

Information Sharing

We do not sell, trade, or rent your information to third parties. We may share your registration and account information only in these limited circumstances:

  • Service Providers: Trusted third-party providers who assist with hosting, payment processing, or technical infrastructure (they are bound by confidentiality agreements)
  • Legal Requirements: When required by Nigerian law or in response to valid legal processes
  • Business Transfer: In connection with a merger, acquisition, or sale of assets (you will be notified in advance)

We never share school operational data because we don't have access to it.

Data Retention and Export

We retain your registration and account information for as long as your subscription is active. When your subscription ends:

  • We provide you with the ability to export all your school's operational data before account closure
  • After account closure, we retain basic registration information for legal and accounting purposes as required by law
  • Your school's operational data may be deleted according to our data retention schedule unless you export it

Important: It is the school's responsibility to export and back up their data before cancelling their subscription.

Your Rights

Regarding the information we collect about your school, you have the right to:

  • Access your registration and account information
  • Correct inaccurate information
  • Request deletion of your account (subject to legal retention requirements)
  • Export your school's operational data at any time
  • Object to processing of your information
  • Close your account and cancel your subscription
